Fiducia: Trust Accounting Built for Firms That Safeguard Client Money
Every ringgit entrusted to your firm. Accounted for, authorised, reconciled, and audit-ready.
When a client deposits funds into your trust account, whether for a property transaction, litigation settlement, estate administration, or any other matter, those funds remain the client’s money until they are disbursed in accordance with authorised instructions.
Managing client funds carries significant professional and regulatory responsibilities. Your firm must be able to accurately track every transaction, maintain complete segregation of client balances, and demonstrate at any time exactly how much money is held for each client and matter.
Fiducia provides the controls and transparency needed to meet those obligations with confidence. From receipt to disbursement, every ringgit is recorded, approved, reconciled, and supported by a complete audit trail, helping your firm maintain compliance, strengthen client trust, and stay prepared for audits and regulatory reviews.
Many small firms still do this with spreadsheets and a cash book. It works until it doesn’t: a formula is overwritten, a cheque bounces after it has been spent, a fixed deposit matures unnoticed, or the month-end reconciliation won’t balance and nobody knows why. Fiducia replaces that with one system designed around a simple rule: client money must always be accounted for, and a client’s balance must never go below zero.
Why firms holding client funds need a dedicated system
Holding money in trust carries obligations a general accounting package or a spreadsheet was never designed for:
- Every matter is its own ledger. You must know what each client and matter holds, not just the total in the bank. One client’s money can never pay another client’s bills.
- A balance can’t go below zero. Paying out more than a matter holds, or paying against a cheque that hasn’t cleared, means using someone else’s money.
- The books must agree with the bank. Each month your cash book, your client ledgers and your bank statement should tell the same story.
- Fixed deposits must be watched. Client money placed on deposit has maturity dates, interest and tax to record, and that interest belongs to the client.
- Auditors and regulators expect a trail. Who received the money, who approved the payment, who changed what and when, all kept and never quietly altered.
Getting any of this wrong is not just an accounting error. It can be a breach of the accounts rules that apply to your firm, and a serious risk to your firm and its reputation.
How Fiducia helps
Fiducia is a Windows application for small law firms and professional practices that hold client money in trust. It keeps a separate ledger for every client matter and builds the trust rules into every step, so mistakes are stopped before they are made rather than found at audit.
- Prevents, not just reports. A payment, transfer or fixed deposit that would take a matter below its available balance simply can’t be saved.
- Controls without bureaucracy. Approvals, segregation of duties and locked months are there when you need them, and can be switched to suit a sole practitioner.
- Audit-ready every day. Every completed transaction is numbered, printed, kept and traceable. Mistakes are corrected by reversal, never by deleting history.
- Built for your practice. Set up for firms in Malaysia, Indonesia, Singapore and the Philippines, with your country’s date format and currency, amounts in words on receipts and vouchers in your currency, and screens in English, Bahasa Melayu or Bahasa Indonesia.
Features that keep client funds safe
Clear balances for every matter
- Each matter shows its cash in the bank, money on fixed deposit, uncleared cheques, money set aside for approved payments, and the available balance you can actually pay out.
- A funds summary appears right on the receipt and payment screens, and Fiducia warns you the moment an amount exceeds what the matter holds.
- Joint matters, executors, administrators and trustees can be recorded as parties, while one main client owns the ledger.
- A matter can only be closed when its cash and deposit balances are both zero.
Receipts and cheque clearing
- Numbered official receipts, printed with your firm’s details and the amount in words. Reprints are marked Duplicate, and voided receipts are marked Void with the reason.
- Cheques stay uncleared until you mark them cleared, and uncleared money can’t be paid out.
- Dishonoured cheques are reversed. A cheque the bank returns after it has cleared is recorded and flagged for follow-up.
Payments with approvals
- Payments move from draft, to approval, to release. The ledger only changes when the money actually goes out, and the balance is checked again at every step.
- Approval levels you set: for example, up to RM50,000 by any lawyer, above that by the matter’s lawyer, and larger amounts by two lawyers.
- Nobody approves their own request. Leave cover lets a lawyer hand approvals to a colleague for set dates.
- Payment types for client refunds, third-party payments and payment of the firm’s fees (with a bill number), plus payment vouchers carrying the approval details.
- Fiducia refuses to reuse a cheque number on the same trust account and checks for possible duplicate payments.
Transfers between matters
Move money between matters of the same client, with a narration, approval and a full audit trail. Transfers from one client to another aren’t allowed.
Fixed deposits and interest
- Record placements, maturity, uplift, renewal (principal only, or principal plus interest) and early uplift for each matter’s deposits.
- Every placement needs a lawyer’s approval (unless your firm has switched approvals off).
- Record gross interest, tax deducted and net interest. Interest always goes to the client’s matter.
- Maturity and interest are worked out for you, and reminders show deposits maturing within 7, 14 and 30 days or already matured. Lawyers are reminded about deposits on their own matters.
Three-way bank reconciliation
- Each month, Fiducia reconciles the bank statement, the trust cash book and the total of all client ledgers, and only completes when all three agree.
- Tick off items on the statement; the rest become outstanding receipts and unpresented payments. Bank errors and unexplained items are recorded with a note and carried forward until resolved, never posted to a client.
- The printed statement lists any account below zero and why.
Your firm’s own money, kept apart
The office account holds your firm’s own money inside the trust account (such as the deposit needed to open it). Bank charges like cheque books are paid from it, never from a client’s matter.
Month-end and year-end controls
- Months are locked in order once reconciled, so nothing can be back-dated into a closed month.
- A separate year-end adjustments period and a year-end close, with an Annual Trust Balance report.
17 trust reports
- Client and Matter Ledger Statement, Trust Trial Balance, client and matter trust listings, receipt and payment journals, transfers, payment of fees, uncleared cheques, dormant balances, Deposit Register, Maturity Schedule, Interest Allocation, outstanding items, the Three-Way Reconciliation Statement, the Annual Trust Balance and the Audit Log.
- Preview, print, save as PDF or export to Excel as a clean data table.
Audit trail and security
- Every change is logged with who, when, which computer, and the values before and after. Completed transactions are never edited or deleted; corrections are made by reversal.
- Roles for Administrators, Accounts, Lawyers and Auditors (read-only). Lawyers see their own matters; the managing partner sees the whole firm.
- Strong password protection, lockout after repeated failed sign-ins, and an automatic screen lock when a PC is left idle.
Documents and dashboard
- Attach supporting documents (such as bank slips, bills or client instructions) to completed receipts, payments, transfers and deposits. Files are stored where users can’t change or delete them, and Fiducia warns if the same bill is attached to another payment, a sign it may be paid twice.
- A dashboard shows client money held, approvals waiting for you, payments to release, uncleared cheques, maturing deposits, reconciliations due, backup status and licence status. Each tile opens the screen behind it.
Easy to set up, no IT department needed
- One installer. It sets up the database on your main office PC and connects the other PCs in the office, all using Microsoft SQL Server Express, at no extra licence cost.
- Bring your existing balances across. Fill in Excel templates with your clients, matters, balances and current fixed deposits. Fiducia checks everything and shows a preview before anything is posted.
- Automatic backups. A daily backup is checked after it is made, copied to a second place such as a NAS, USB drive or cloud-synced folder, and old copies are tidied up for you. A missed backup shows on the dashboard.
- Automatic updates. Your main PC installs updates overnight, and the other PCs pick them up the next time they start.
- Your client data stays in your office. Fiducia runs on your own PCs. Only your firm’s name and contact details are sent for licensing, never client, matter or money information.
- Your records are always available. Even if a licence lapses, you can still look up, print and export everything.

Notes:
- Keep the server on. Backups and updates run overnight, and the other PCs can only use Fiducia while the server is running. A small UPS is a good idea.
- A second place for backups. A NAS, an external USB drive or a cloud-synced folder such as OneDrive.
- A printer for receipts, payment vouchers and A4 reports.
- No separate database licence is needed. The installer sets up Microsoft SQL Server 2025 Express on the server for you; it holds up to 50 GB of data, far more than a small firm needs.
